The Policy Review Group (PRG)

PRG was established in 23/24 and is responsible for reviewing Fairhive policies that may affect residents. As part of this group’s feedback we created a policy review consultation document to demonstrate meaningful consultation with residents. This document records resident queries and comments in relation to the policies and outlines whether policies have been amended based on their input. Since the group’s formation, it has reviewed and approved 9 policies.

Reviewing key volunteering documents

We revised our volunteers Code of Conduct working in partnership and collaboration with our Resident Forum (RF) and we also reviewed our Resident Forum Terms of Reference, through collaboration with the RF and feedback from residents. We reinstated the election of a resident chair and vice chair and also added a planning meeting with the chair and vice chair to set the agenda for each meeting – ensuring residents are involved in deciding what is discussed.

Nurture Your Neighbourhood projects

We did not do any active promotion of the NYN scheme due to other commitments taking priority. A plan is in place for 24/25 and we have already received 4 requests.

Scrutiny projects undertaken

Our Task & Finish Scrutiny Review Group (T&F) conducted 1 review on ‘Satisfaction with Fairhive’s approach to handling of complaints’. The group chose this due to the TSM performance data. The group proposed 5 recommendations. The group take part in a 6 month review to track progress and are pleased with the progress. They are now working on their next review. Following feedback from the T&F group we introduced a new T&F tracker which requires a resident member of the group to physically sign off on an action before it can be marked as complete to ensure we have implemented recommendations as agreed.

Community Safety Fund (CSF)

We continued to support youth diversionary schemes through the CSF, providing safe and productive environments for young people through sport such as the Friday Night Scheme. The scheme relocated during 2023/24 to be able to offer more places for Fairhive residents.

 

Environmental Improvement Fund (EIF)

  • Using the EIF we provided gardening vouchers to a number of residents and gardening groups enabling them to brighten up and maintain communal gardens or areas.
  • We also provided prizes for our ‘Great Gardens’ competition in 23-24.
  • The fund also purchased tree protection items or equipment to support the planting, growth and development of 105 trees supplied by the Woodland Trust.

 

Number of child places on Summer Fun

It is lower for 23/24 due to our changing priorities in line with the ever-changing landscape we are working within. Due to the introduction of TSMs and the new Consumer Standards, our focus shifted from community engagement to Resident Voice, which is shown in the increase in our resident engagement hours below.

From minor aids like grab rails; flashing doorbells; suitable taps; door handles, to major adaptations like level access showers; widening of doors and windows; stair lifts.

Satisfaction that the landlord keeps communal areas clean and well-maintained

Satisfaction that we keep communal areas cleaned and maintained improved during the second half of the year. The main area of dissatisfaction was around grounds maintenance performance but progress has been made with the contractor and we expect satisfaction levels to increase over the coming year.

Despite this disappointing overall year end figure we are sitting favourable compared to our peers. We will continue to highlight the positive work we do as well as well as review the feedback provided for this TSM so we can understand what improvements can be made.

Satisfaction with the landlord’s approach to handling anti-social behaviour

We’re pleased that satisfaction remained at a high level given the challenges that managing Anti-Social Behaviour (ASB) presents. This provides reassurance that we are able to deal with ASB in an effective, efficient and positive way.
